How to Register with NAPSA in Zambia

NAPSA registration is compulsory for employers and gives every worker a social security number. This guide walks through both registrations, with pre-filled sample forms so you get the paperwork right the first time.

1Know which registration applies to you

NAPSA has two sides: employers register their business as a contributing entity, and employees register as members to receive a social security number. If you have staff, you must do the employer registration first, then register each worker.

2Gather your documents

Employers need the PACRA certificate of registration or incorporation, TPIN certificate, and NRCs of directors. Members need their NRC, date of birth, and next-of-kin details. Names must match the NRC exactly.

3Complete the registration form

Fill in the employer registration form or the member registration form. Employers state the business address, sector, date operations started, and number of employees. Members state personal details, employment details, and beneficiaries.

4Submit at a NAPSA office

Take the completed form and supporting documents to the nearest NAPSA office, or submit through your employer's NAPSA portal account. Keep the acknowledgement until your number is issued.

5Start monthly contributions

Once registered, contributions are due monthly by the 10th of the following month. Employers deduct the employee share and add the employer share, then file the contribution schedule.

Common mistakes to avoid

  • Member name or NRC not matching the National Registration Card
  • Employer registering staff before registering the business itself
  • Leaving next-of-kin or beneficiary details blank
  • Wrong date of first employment, which affects contribution history
  • Missing the 10th-of-the-month contribution deadline
